Every week brings new jobs, emails, files, and task lists. How much of this is different from the job you have done? Odds are, not much. A number of our daily tasks are variants on something.
Don’t reinvent the wheel every single time you start something new. Use templates–standardized files with formatting and text as starting point for work. Once you save another version of the template, just add, eliminate, or change any data for that record, and you are going to have the new job completed in a fraction of this time.
Templates work everywhere: in word processors, spreadsheets, project management apps, survey programs, and also email. Here’s the way to use templates in your favorite programs –and to automatically create documents from a template–so you can get your tasks done faster.
Templates take the time to build, and it’s easy to wonder if they are worth the investment. The answer: absolutely. Editing a template requires far less time than formatting some thing from scratch. It is the difference between retyping it, or copying and pasting some text.
That is only one benefit: Using a template means you are less inclined to leave out key info, also. For example, if you need to send freelance authors a contributor agreement, changing a standard contract template (instead of writing a new contract each time) ensures you won’t depart out the crucial clause about owning the content once you’ve paid for it.
Templates also guarantee consistency. Perhaps you send regular job updates to clients or investors. Using a template, you know the upgrade will have the formatting, design, and arrangement.
How to Create Great Templates
Not all templates are created equal–and some things don’t require a template. Here are a few tips to follow.
First, templates should be comprehensive. So err on the side of including also rather than too little, it’s easier to delete information than add it in.
Imagine you’re developing a template of your resume. You’d want to list details and that means you are going to have.
You can always delete notes that are less-important on, but you may forget it in the last 25, if it is not from the template.
Some applications will automatically fill in all these variables for you (more on this in a bit). But should you need to fill in the information on your own, include some text that’s simple and obvious to look for so it is possible to find text that needs to be changed without a lot of work.
