Each week brings job lists, emails, documents, and new projects. How much of that is different from the work you’ve done? Odds are, not much. Many of our tasks are variants on something we have done countless times before.
Do not reinvent the wheel each time you start something new. Use templates–standardized documents as starting point. As soon as you save a variant of the template, simply add, eliminate, or alter any info for that record, and you are going to have the work done in a fraction of the time.
Templates work everywhere: in word processors, spreadsheets, project management apps, survey platforms, and also email. Here is how to use templates and how to automatically generate documents from a template–so it’s possible to get your common tasks done faster.
Programs take the time to construct, and it’s easy to wonder if they are worth the investment. The answer: absolutely. Editing a template takes far less time than formatting something from scratch. It’s the difference between copying and pasting some text, or retyping it.
That is not the only benefit: Using a template means you’re not as likely to leave out key info, also. For instance, if you want to send freelance writers a contributor arrangement, changing a standard contract template (rather than composing a new contract every time) guarantees you won’t leave out that crucial clause about possessing the content once you’ve paid for it.
Templates also guarantee consistency. Maybe you send regular job updates to clients or investors. Using a template, you know the upgrade will have the exact same formatting, layout, and general structure.
How to Produce Great Templates
Not many templates are created equal–and a few things do not require a template. Here are a couple of tips to follow.
First, templates should be comprehensive. So err on the side of including instead of too little, it’s more easy to delete info than add it in.
Imagine you are developing a template of your resume. You’d want to record in-depth facts about your responsibilities and accomplishments, and that means you’ll have all the information you want to submit an application for almost any job.
You can delete notes later on, but if it is not from the template you may forget it in the last version.
Some tools will automatically fill in all these variables for you (more on that in a bit). But should you have to fill in the information on your own, add some text that is simple and obvious to search for so you can locate.
