Every week brings new jobs, emails, files, and job lists. Just how much of this is totally different from the work you have done before? Odds are, not much. A number of our day-to-day tasks are variations on something.
Don’t reinvent the wheel every time you start something fresh. Use templates–as starting point standardized documents with formatting and text. As soon as you save another version of the template add, remove, or change any data for that record that is unique, and you’ll have the work completed in a fraction of this time.

Templates work anywhere: in word processors, spreadsheets, project management apps, survey platforms, and email. Here’s how to use templates from your favorite apps–and to generate documents from a template–so you can get your ordinary tasks done faster.

Templates take time to construct, and it’s easy to wonder if they are worth the investment. The brief answer: absolutely. Editing a template takes much less time than formatting something. It is the difference between copying and pasting some text, or retyping it.

That is not the only benefit: Using a template means you’re not as likely to leave out key info, also. For instance, if you want to send freelance writers a contributor agreement, modifying a standard contract template (rather than composing a new contract each time) guarantees you won’t leave out the crucial clause regarding owning the content as soon as you’ve paid for it.

Templates also guarantee consistency. Maybe you send clients or investors regular job updates. With a template, you know the upgrade will always have the exact same formatting, layout, and arrangement.

How to Create Great Templates

Not many templates are created equal–and a few things don’t require a template. Here are a few guidelines to follow.
First, templates must be comprehensive. So err on the side of including rather than too small, it’s easier to delete info than add it in.
Imagine you are developing a template of your resume. You would want to list facts and that means you’ll have all the info you need to submit an application for any job.

You can always delete less-important notes later on, but when it is not from the template you might forget it.

Some applications will automatically fill in all these variables for you (more on this in a bit). But if you have to fill in the data on your own, include some text that’s simple and obvious to look for so you can locate text that needs to be altered without much work.
