Each week brings job lists, emails, documents, and new jobs. How much of this is totally different from the work you have done? Odds are, maybe not much. Many of our tasks are variants on something we have done hundreds of times before.
Don’t reinvent the wheel each time you start something new. Use templates–as starting point for work that is new, standardized documents with formatting and text. Once you save another variant of the template add, remove, or change any data for that record that is unique, and you’ll have the new job.
Templates work anywhere: in word processors, spreadsheets, project management apps, survey programs, and also email. Here is the way to use templates from your favorite apps–and to automatically create documents from a template–so you can get your tasks done quicker.
Templates take the time to build, and it’s easy to wonder whether they’re worth the investment. The answer: absolutely. Editing a template takes much less time than formatting some thing from scratch. It is the difference between copying and pasting some text, or retyping it.
That is not the only advantage: Using a template means you are not as inclined to leave out crucial information, also. For instance, if you want to send freelance writers a contributor agreement, changing a standard contract template (rather than composing a new contract each time) ensures you won’t depart out that crucial clause about owning the material as soon as you’ve paid for it.
Templates also guarantee consistency. Perhaps you send regular job updates. With a template, you know the update will always have the formatting, layout, and structure.
How to Produce Fantastic Templates
Not all templates are created equal–and a few things don’t require a template. Here are a couple of guidelines to follow.
First, templates should be comprehensive. So err on the side of including also rather than too small, it is more easy to delete info than add it in.
Imagine you are developing a template of your own resume. You would want to list in-depth details about your duties and achievements, so you’ll have all the info you want to submit an application for almost any job.
You can always delete notes that are less-important on, but you may forget it at the last 25, if it is not from the template.
Some applications will automatically fill in these variables for you (more on this in a little ). But if you need to fill in the information on your own, include some text that’s obvious and simple to look for so it is possible to locate text that needs to be changed without a lot of effort.
