Each week brings new jobs, emails, files, and task lists. How much of that is totally different from the job you have done? Odds are, not much. Many of our daily tasks are variations on something we’ve done hundreds of times before.
Don’t reinvent the wheel each time you start something new. Use templates–standardized documents as starting point for new work. As soon as you save a version of the template, just add, eliminate, or alter any info for that exceptional document, and you are going to have the new job.

Templates work everywhere: in word processors, spreadsheets, project management apps, survey programs, and email. Here is the way to use templates from your favorite apps–and to automatically create documents from a template–so you can get your common tasks done quicker.

Programs take time to build, and it’s easy to wonder whether they are worth the investment. The answer: absolutely. Editing a template takes far less time than formatting some thing. It’s the difference between retyping it, or copying and pasting some text.

That’s not the only benefit: Using a template means you are less inclined to leave out key information, too. For example, if you want to send freelance writers a contributor agreement, changing a standard contract template (instead of writing a new contract each time) ensures you won’t leave out that crucial clause about owning the material once you’ve paid for it.

Templates also guarantee consistency. You send regular project updates to clients or investors. With a template, you know the update will have the same formatting, layout, and structure.

How to Produce Great Templates

Not all templates are created equal–and some things don’t require a template. Here are a few tips to follow.
First, templates must be comprehensive. So err on the side of adding also rather than too little, it is more easy to delete info than add it in.
Imagine you are creating a template of your own resume. You would want to list in-depth facts and that means you’ll have all the info you want to apply for any job.

You can always delete less-important notes later on, but you may forget it at the final 25, if it is not from the template.

Some tools will automatically fill in these variables for you (more on that in a bit). But if you have to fill in the information on your own, add some text that’s easy and obvious to look for so it is possible to locate text that has to be changed without a lot of work.
