Each week brings job lists, emails, files, and new jobs. How much of that is different from the job you have done? Odds are, not much. Many of our tasks are variants on something we’ve done countless times before.
Don’t reinvent the wheel each single time you start something fresh. Use templates–standardized files with formatting and text as starting point for work. Once you save a separate variant of the template, simply add, eliminate, or alter any data for that exceptional record, and you’ll have the new job.

Templates work anywhere: in word processors, spreadsheets, project management programs, survey programs, and email. Here’s how to use templates and to generate documents from a template–so you can get your ordinary tasks done faster.

Templates take time to build, and it’s easy to wonder whether they’re worth the investment. The brief answer: absolutely. Editing a template requires much less time than formatting something. It’s the distinction between copying and pasting some text, or retyping it.

That is not the only benefit: Using a template means you’re less inclined to leave out crucial information, also. For instance, if you want to send freelance authors a contributor agreement, changing a standard contract template (instead of composing a new contract every time) guarantees you won’t depart out the crucial clause regarding owning the content once you’ve paid for this.

Templates also guarantee consistency. You send regular job updates to investors or clients. Using a template, you know the update will have the formatting, layout, and general structure.

How to Produce Great Templates

Not many templates are created equal–and some things don’t require a template. Here are a few guidelines to follow.
First, templates must be comprehensive. It is more easy to delete information than add it , so err on the side of adding rather than too little.
Imagine you are developing a template of your resume. You’d want to list facts and that means you’ll have all the information you need to submit an application for any job.

You always have the option to delete notes later on, but when it’s not in the template you might forget it.

Some applications will automatically fill in these variables for you (more on this in a bit). But should you need to fill in the data on your own, include some text that is simple and obvious to look for so you can locate.
